Whilst the Covid-19 pandemic is sure to have impacted this sector\u2019s short-term growth, it\u2019s likely to lead to interesting long-term effects. As more <span id=\"urn:enhancement-9e0929d7\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/company\">companies<\/span> have moved to working remotely &#8211; and have even hired new remote staff &#8211; we can expect to see <span id=\"urn:enhancement-f0291085\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/employment\">employees<\/span> choosing to access a more social space rather than remaining at <span id=\"urn:enhancement-daaf3ab7\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/home\">home<\/span>.<\/p>\n\n\n\n<p class=\"eplus-UfroVn\">This continued growth brings <a href=\"https:\/\/www.codemotion.com\/magazine\/articles\/events\/as-technology-evolves-so-too-does-the-world-of-work\/\">new technology<\/a>, and with that, new challenges for IT teams! The best way to prepare for these challenges is to have a solid <span id=\"urn:enhancement-3eb8cf25\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/infrastructure\">infrastructure<\/span> to work from.<\/p>\n\n\n\n<h2 class=\"eplus-lwIh9A wp-block-heading\" id=\"h-be-flexible\">Be flexible<\/h2>\n\n\n\n<p class=\"eplus-ZYPTTX\">Unlike conventional <span id=\"urn:enhancement-2d37ab9d\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/office\">offices<\/span>, coworking spaces require a lot of flexibility. They\u2019ll also have different expectations. Some start-ups might need a lot of<span id=\"urn:local-annotation-131682\" class=\"textannotation disambiguated\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/computer_performance\"> processing power<\/span>, access to a large amount of <span id=\"urn:enhancement-9a90f0c6\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/data\">data<\/span>, and the ability to use remote machines. Others firms might only need a reliable <span id=\"urn:enhancement-7a5ac47d\" class=\"textannotation disambiguated wl-organization\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/internet_access\">internet connection<\/span>. Some will want dedicated phone lines, whilst others will be happy to use <a aria-label=\"undefined (opens in a new tab)\" href=\"https:\/\/www.ringcentral.com\/lp\/business-voip\/small-business-voip.html\" target=\"_blank\" rel=\"noreferrer noopener\">VoIP systems for small business<\/a>.<\/p>\n\n\n\n<p class=\"eplus-dER1yf\">If possible, canvas opinions from potential and current members of coworking spaces. Whilst they won\u2019t necessarily cover everything that comes up, they\u2019ll give you a good idea on the range of expectations members have.<\/p>\n\n\n\n<h2 class=\"eplus-dpY7ZU wp-block-heading\" id=\"h-reliable-internet-is-crucial-for-coworking\">Reliable Internet is crucial for coworking<\/h2>\n\n\n\n<p class=\"eplus-Rwgyjz\">This may seem obvious, but it is one of the most important things to ensure you have in a coworking space. Rather than relying solely on wi-fi, invest in a comprehensive wired network. This can involve a lot of upfront <span id=\"urn:enhancement-96a7d290\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/cost\">cost<\/span> &#8211; you may need to fit an old building with new cabling, or replace pre-existing wires &#8211; but it\u2019s worth it. There are a few ways that you can set this up.<\/p>\n\n\n\n<ul class=\"eplus-SnKfDg wp-block-list\"><li>Everyone on the same wifi network<\/li><li>Network segments<\/li><li>A combination &#8211; network segments for business needs, but a shared wifi for the building.<\/li><\/ul>\n\n\n\n<p class=\"eplus-McKCiE\"><span id=\"urn:enhancement-fc9fa855\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/web_hosting_service\">Hosting<\/span> everyone on the same <span id=\"urn:local-annotation-280005\" class=\"textannotation disambiguated\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/wi-fi\">wifi<\/span> network certainly has benefits. It\u2019s easier to set up initially, and you also don\u2019t have to keep adding new segments as new members come and go. However, it has a lot more <span id=\"urn:enhancement-2e213dd2\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/security\">security<\/span> risks and it\u2019s harder to ensure fair <span id=\"urn:enhancement-77b7a4b5\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/sharing\">sharing<\/span> of <span id=\"urn:enhancement-b07d1466\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/bandwidth_computing\">bandwidth<\/span>.<\/p>\n\n\n\n<p class=\"eplus-FI32DE\">Splitting your network into segments is harder to set up, and you\u2019ll need to set up new segments for new members, but it is more <span id=\"urn:enhancement-4a969f58\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/network_security\">secure<\/span>. You can also manually control how much <span id=\"urn:enhancement-34392152\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/bandwidth_computing\">bandwidth<\/span> <span id=\"urn:enhancement-475234f3\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/company\">companies<\/span> can access, and apply different restrictions depending on their needs. However, when you have members who may only be using the space short term, it can be more hassle than it\u2019s worth.<\/p>\n\n\n\n<p class=\"eplus-NVLlrg\"><span id=\"urn:enhancement-6c3e009f\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/mobile_application_development\">Using<\/span> a combination of the two will give you the best of both worlds. Having a shared wi-fi segment for the building allows you to give <span id=\"urn:enhancement-d733b2b9\" class=\"textannotation disambiguated wl-organization\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/internet_access\">internet access<\/span> to short-term members, one-off <span id=\"urn:enhancement-bffd9126\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/meeting\">meetings<\/span>, and visitors. That\u2019s all without compromising the <span id=\"urn:enhancement-fa271ceb\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/security\">security<\/span> and <span id=\"urn:enhancement-d4508c6c\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/reliability_engineering\">reliability<\/span> of your more long term members.<\/p>\n\n\n\n<p class=\"eplus-5BcD6S\">Whatever you do, there\u2019s one important rule to follow: don\u2019t let members set up their own wi-fi <span id=\"urn:enhancement-28df9658\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/system\">systems<\/span>. Having multiple wi-fi networks in one place can get messy, so make sure the only network in use is the one you\u2019re in control of. This is especially important if you\u2019re offering <a href=\"https:\/\/www.davincivirtual.com\/blog\/4704\/essential-elements-every-virtual-office-needs\" target=\"_blank\" aria-label=\"undefined (opens in a new tab)\" rel=\"noreferrer noopener\">virtual offices<\/a> alongside physical ones.<\/p>\n\n\n\n<h2 class=\"eplus-JkHHGv wp-block-heading\" id=\"h-make-security-a-priority\">Make security a priority<\/h2>\n\n\n\n<p class=\"eplus-oyGTXQ\">When you\u2019re managing the internet connection of multiple <span id=\"urn:enhancement-983138e0\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/company\">companies<\/span>, you need to make <span id=\"urn:enhancement-42ac224f\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/security\">security<\/span> a top priority. As mentioned earlier, having network segmentation in place makes this easier to enforce, but it shouldn\u2019t be the only thing you rely on.<\/p>\n\n\n\n<h3 class=\"eplus-InSsyS wp-block-heading\" id=\"h-two-factor-authentication\">Two Factor Authentication<\/h3>\n\n\n\n<p class=\"eplus-BcoQ3J\"><span id=\"urn:enhancement-9552588\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/two_factor_authentication\">Two factor authentication<\/span> is growing more common, and with good reason. Most <span id=\"urn:enhancement-6763170\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/people\">people<\/span> will be familiar with it &#8211; many email providers and <span id=\"urn:local-annotation-748405\" class=\"textannotation disambiguated\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/social_media\">social media<\/span> platforms offer it. It\u2019s a quick, efficient way to add an extra level of <span id=\"urn:enhancement-95364601\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/security\">security<\/span> to any login. Making two factor authentication a <span id=\"urn:enhancement-b568a672\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/requirement\">requirement<\/span> for accessing your networks will go a long way towards preventing freeloaders or malicious actors impacting your <span id=\"urn:enhancement-8f5cf70f\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/wi-fi\">wi-fi<\/span>.<\/p>\n\n\n\n<h3 class=\"eplus-wWIhaj wp-block-heading\" id=\"h-avoiding-malware-and-viruses\">Avoiding Malware and Viruses<\/h3>\n\n\n\n<p class=\"eplus-qQO87M\">If you have a \u2018bring your own device\u2019 policy in place, there\u2019s an increased chance of <span id=\"urn:enhancement-c85e887a\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/people\">people<\/span> bringing in otherwise avoidable malware or viruses. No matter how <span id=\"urn:enhancement-13e46563\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/network_security\">secure<\/span> your work network is, if their <span id=\"urn:enhancement-9bf86f9f\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/home\">home<\/span> network isn\u2019t, you\u2019re at risk. This is the quickest way to remove the problem, but also the most inconvenient &#8211; for you and your members. You\u2019d have to be able to provide equipment for everyone, and this would remove a lot of the flexibility people appreciate in co-working spaces.<\/p>\n\n\n\n<p class=\"eplus-lIe7hs\">More practically speaking, you could enforce certain <span id=\"urn:enhancement-d4ed288\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/computer_program\">programs<\/span> to be <span id=\"urn:enhancement-b02034b1\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/download\">downloaded<\/span> before members can access your network. If you have a favored malware or <span id=\"urn:enhancement-769c273a\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/antivirus_software\">antivirus program<\/span>, this is ideal. You may find yourself limited by what\u2019s available for <span id=\"urn:enhancement-79763947\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/free_software\">free<\/span>, or you could invest in copies &#8211; again, expensive, but less expensive than providing <span id=\"urn:enhancement-22d40ad5\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/computer\">computers<\/span>. If you have <a href=\"https:\/\/www.brightpearl.com\/order-management-software\/\" target=\"_blank\" aria-label=\"undefined (opens in a new tab)\" rel=\"noreferrer noopener\">order management software<\/a> in place, you could also sell copies, but there\u2019s no guarantee every member would be willing to invest in a paid version.<\/p>\n\n\n\n<p class=\"eplus-IKiqgW\">Alternatively, you could require a scan of each machine before it\u2019s allowed to connect to the network. This requires an investment of time, rather than money.&nbsp;<\/p>\n\n\n\n<p class=\"eplus-BIpuJr\">If you don\u2019t have the ability to do this, network segmentation will make a huge difference here. It will allow you to quarantine anything that is brought in before it infects the whole network. By doing this, and providing <span id=\"urn:enhancement-a998350e\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/training\">training<\/span>, you may be able to avoid any major issues.<\/p>\n\n\n\n<h3 class=\"eplus-aJdUK7 wp-block-heading\" id=\"h-training\">Training<\/h3>\n\n\n\n<p class=\"eplus-6iFnlJ\">As mentioned, it\u2019s worth providing <span id=\"urn:enhancement-3c65d1c3\" class=\"textannotation disambiguated wl-thing\" itemid=\"http:\/\/data.wordlift.io\/wl01770\/entity\/training\">training<\/span> to new members. You\u2019re likely to be based in the same building, rather than remotely, so it\u2019s easy for people to come and find you with their problems! You may want to restrict this to happening within set hours, or have a distinct front-facing team designed to deal with these enquiries. You should expect requests for:<\/p>\n\n\n\n<ul class=\"eplus-FASNrA wp-block-list\"><li>Projectors<\/li><li>Smartboards<\/li><li>Audio systems<\/li><li>Phones<\/li><li>Printers<\/li><\/ul>\n\n\n\n<p class=\"eplus-Ndryll\">All of these are going to be linked to your network, and will need to be accessible by whoever has booked those rooms. You could provide tech support for every meeting, but it\u2019s far more effective to make them accessible to members. Will it be on physical servers in the building, or hosted in the cloud? Are you hiring an external contractor or will your IT team be responsible for some of the security technology? There are a lot of questions to consider here, and we recommend consulting with a security expert to decide on a solution that suits you best.&nbsp;<\/p>\n\n\n\n<h3 class=\"eplus-jKbod6 wp-block-heading\" id=\"h-phone-systems\">Phone Systems<\/h3>\n\n\n\n<p class=\"eplus-LTzZkZ\">Are you providing phone systems to some of the offices, or is this something members will have to provide themselves? It may be worth providing them so you can control what is installed on your system, but as an optional extra rather than as standard. A <a aria-label=\"undefined (opens in a new tab)\" href=\"https:\/\/www.ringcentral.co.uk\/blog\/how-to-setup-voip-server-home-office\/\" target=\"_blank\" rel=\"noreferrer noopener\">VoIP server<\/a> may be easier to install than physical phone lines.<\/p>\n\n\n\n<h3 class=\"eplus-0pcltH wp-block-heading\" id=\"h-booking-systems\">Booking Systems<\/h3>\n\n\n\n<p class=\"eplus-ePRJuX\">You\u2019ll need to have an easily accessible way to book conference rooms, that both members and building staff can access. It\u2019s worth investing in dedicated <a href=\"http:\/\/www.zoomshift.com\/employee-scheduling-software\" target=\"_blank\" aria-label=\"undefined (opens in a new tab)\" rel=\"noreferrer noopener\">scheduling software<\/a> for this and including its use in mandatory training sessions for new members.<\/p>\n\n\n\n<h2 class=\"eplus-c79lzW wp-block-heading\" id=\"h-what-don-t-you-need-for-coworking\">What DON\u2019T you need for coworking?<\/h2>\n\n\n\n<p class=\"eplus-RCo2im\">Finally, it\u2019s worth spending time working out what you don\u2019t need. Coworking spaces have particular needs but there are things that conventional offices need that they don\u2019t. It\u2019s worth making sure that you\u2019re not investing in something that will go unused.<\/p>\n\n\n\n<p class=\"eplus-vgwKNE\">It\u2019s worth investing in a back-up solution for building staff (ie, your team and the reception\/bookings team), but with it being a much smaller group than a whole office, you can scale down.
